TIME OFFICE MANAGEMENT :

INTRODUCTION :

An Organization is an entity formed by a group of persons  to achieve certain goals.  An organization is an entity means the Organization is independent of its directors or promoters.  It has a separate entity apart from its Director's or Promoters. Every  Organization will set goals to achieve something in the future.  In order to set goals the Director or Partners take a decision how the working of the Organization will be done and what are the production or out put to be produced or manufactured.  As Organization is a separate entity, the Director or Promoters make important decisions on behalf of the Organization.  Organizational set up needs to be established properly prior to start of business.  So that at a later stage there will not occur any difficulty in running Organization smoothly.  The promoters or Directors will contribute a sum in the form of Capital to run the Business entity.  The promoters or Directors are empowered to take major decisions with regard to the future plans and subsequent working or running of an Organization. The capital invested by the promoters or directors will be kept as a reserve to meet any eventualities.  The capital will be kept as a reserve and for normal running of the Organization will depend upon its style of working and future profits.  There will be another contribution from the part of its directing body for the working capital of the Organization.  It will be adjusted out of the Reserve Capital if possible other wise it will be contributed separately.

Functions of Time Office

Time Office is an Integral Part of Human Resource Department.  Time Office is established in an Organization with a view to efficiently managing and controlling attendance system and controlling the Payroll of employees.   Employees working in various Departments needs to be monitored with good accuracy which will result in the employees attendance system working properly.  Employees entering inside the factory needs to be monitored for timings of their entry and exit through the Gate, which is marked through punching system.  The punching system has evolved into many great changes through introduction of new electronic punching machines.  Earlier attendance was recorded on a card used by the employees, these cards were shown at gate while entering into the factory premises and the attendance were marked by the respective Departmental Heads in these allotted cards, these cards were produced before the Time Office officials at the end of the month.  Time Officials make entry of these timings into Time Office register.  Later on due to introduction of Punching system through electronic machines, the employees of a particular Organization mark their attendance through fingers. Fingers attendance then changed to an electronic card which will be shown in front of the punching machine to recognize the employee number entered on the electronic punching cards. Again some changes were made by many organizations attendance marked through face detection is one of the remarkable change.  Every changes evolved into made remarkable improvement in the system of marking attendance.  Shift working employees were in the habit of handing over the card to another employee for marking the attendance while leaving the factory gate but after introduction of face detection attendance system, taken away such loopholes and could bring better control for attendance marking. The shift employees may have to work on overtime if any employee, who has to come next if unable to attend the work or he remains absent or took leave for any personal work or due to social functions.   Such staying of workers on overtime i.e. beyond the timings prescribed for a shift working entitled them to get Single or Double Overtime for extra hours worked.  The respective Departmental Heads will then sign and send these reports to Time Office duly approved for marking the workers' overtime and he will be reimbursed the amount towards overtime work he performed beyond the regular working hours.  This is normally done at the time of disbursement of salary and perks.  Shift employees are also eligible to get Shift Allowance if the Company policy allows such benefits. After completion of attendance marking and leave adjustments, the pay roll will be run for disbursing the salary and perks at the end of the Month or Week as per practice of each Organization.
